Youth Synod
Youth Synod Sub-Committees
Proceedings
of Synod/ Delegates Concerns sub-committee shall:
a) work in collaboration with the secretary to find a scribe for Synod Proceedings
and Delegates Concerns;
b) coordinate the submissions, screening and editing of motions;
c) coordinate the facilitation of the Deanery Concerns;
d) indicate to the house committee all equipment need for these segments;
The Youth Deanery Meetings/Counsellor
Briefing sub-committee shall:
a) coordinate the deanery meetings and the leaders;
b) find leaders counsellors from different deaneries (ask the Regional Deans
for suggestions, they can inquire at deanery chapter meetings);
c) prepare a presentation on deaneries to the delegates;
d) arrange counsellor briefings (they should attend the planning committee’s
final meeting);
French Liaison sub committee
shall:
a) find a translator for the motions;
b) be responsible for bilingualism (signs directions, etc);
c) find a person that francophone delegates can go to for assistance.
Worship Sub-committee shall:
a) be responsible for planning worship including:
i) choice of music and music team;
ii) leaders of the service (celebrant, prayers, readings. . .);
iii) equipment (shall go to the house committee with a list of what equipment
is needed);
iv) with the help of the Chaplain, prepare and implement quiet time;
***** There should be readings, prayers and songs in both official languages*****
Workshop sub-committee shall:
a) brainstorm for topics and leaders;
b) contact leaders and communicate to them the time, place, and expectations
of their workshops;
c) be a communication link between the leaders and planning committee;
d) inquire about leader’s needs: supplies, space, etc;
e) plan workshop areas;
f) co-ordinate workshop sign ups;
Program sub-committee shall:
a) prepare all games and “fun” activities, ice breakers and back
up time fillers
****** ALL GAMES MUST BE INCLUSIVE-NO ELIMINATION GAMES******
Food sub-committee shall:
a) plan a menu;
b) purchase the food;
c) take care of the financial aspects of the menu;
d) find a kitchen crew to prepare and clean up meals (this could be a different
group of people for each meal);
e) communicate to the MC concerning meal times and procedures
House sub committee shall:
a) contact the location for Youth Synod;
b) serve as a communication link between the location and the committee;
c) manage all the equipment (AV, tables, chairs, utensils-obtaining and coordinating
it along with all the other sub-committees needs);
d) arrange a contract with the location (security, rooms available, fees);
e) coordinate the different space needs: sleeping, deanery groups, dining;
Other Members
A)
Adult Advisor
The YSPC must find an adult advisor to help with planning of Youth Synod.
They will be a guide to help keep planning on track and serve as a support
to the YSPC.
B) Chaplain
The role of a chaplain is also to make sure that all areas of Youth Synod are satisfactory and that plans are according to Diocesan Canons and other procedures. To be available to delegates and committee members for nurture support and spiritual advisement.
